The Balcony overlooking Canada square, The Wine Cellar, The salons and the vault are versatile spaces and are the perfect spot to celebrate the festive season. For larger parties, the restaurant and bar can be hired for exclusive use during the week and at weekends and can accommodate up to 200 guests seated or 400 guests standing.

Christmas Terms and Conditions

All bookings and reservations are subject to these terms and conditions. Bookings will only be secured upon receipt of the fully completed booking form. Please note that in confirming your booking, you are agreeing to The Pearson Room’s Terms and Conditions, as detailed below. Should you require any assistance in interpreting these conditions, please do not hesitate to ask the event manager for assistance. Provisional Bookings A provisional booking will be held for a maximum of 5 working days or until another enquiry is received for the same area on the same date. If this occurs, the event manager will contact you and ask for you to confirm or release the space. Should there be no response or the relevant booking forms not be received within 24 hours your provisional booking will be released. Confirmation & Cancellation Dining & Groups: We require card details at the time of your confirmation. By giving us your card details you agree to our cancellation policy. If you cancel your event with less than 7days notice you will be liable for the entire minimum spend or pre-ordered food for dinning groups. For dining groups final numbers will be fixed 5 days prior to the event. In the case of no shows for group and pre-ordered dining, the full cost of each pre arranged meal will be charged. Private hire For exclusive use, events cancellations are subject to 60 day terms. Cancellations between 60 and 30 days prior to event will incur a charge of 50% of the agreed minimum spend, cancellations between 30 and 15 days are liable for 75% off the agreed minimum spend and cancellations received less than 15 days prior to the event are liable for the entire agreed minimum spend. Timing In order to ensure a seamless service we ask you to specify the time which you wish to sit down. It is essential that the agreed time be adhered to. We cannot be held responsible for delays to service should you or your guests fail to meet these timings. Change of timings can be made up to 24 hours prior the event. In the event of delays outside of your control, please keep us informed, to enable us to adapt the service in discretionary measures where possible. Numbers Confirmation of numbers is required 5 working days prior to the date of the function. Please note that in the event of lower than expected numbers attending, the management will charge for the numbers confirmed. In the case of increased numbers, we will charge for the number of guests attending. Menu Choice Please be aware that your food and drink pre-order must be placed a minimum of 7 days prior to your event. For dining pre orders we require you to choose one set menu you wish to offer the group and then send us individual menu choices at least 7 working days prior to the event. Please select only ONE set menu for group dining parties. Dietary requirements are to be sent prior to the event for us to guarantee they can be accommodated. Prices and service charge Please note that prices are subject to change and should be confirmed at the time of booking. If you would like to change any courses from our set menus or have a bespoke menu created the price may differ to the advertised rates. Menu prices do not include coffee / tea or any drinks unless specified. A discretionary 12.5% service charge for events, private dining and group dining will be added to the final bill. Minimum Spends A minimum spend fee will apply to event bookings in reserved areas and private hires. This minimum spend varies on the date and area requested. Minimum spends are fixed at the time of confirmation. VAT is included in all prices quoted. A discretionary 12.5% service charge is not included in the prices quoted. Payment Unless otherwise agreed in writing by The Pearson Room, payment for a function must be made in full prior to or on the day of the function. We accept all major credit / debit card and cash. We can accept BACS payments in advance, please ask for our bank details if you would like to arrange payment this way. All bills must be closed on the day of the event. In the unlikely situation that the host leaves the event without closing the bill we reserve the right to charge any outstanding balance to the card details provided to us at the time of booking. Any unauthorised outstanding bills will incur a charge of £50 per day until the balance has been cleared.
